This explains what happens to your information if you get in touch with Grampian Caravan Solutions, whether that's a phone call, a text or an email. We take care with your personal information and handle it in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Who's behind this site
Grampian Caravan Solutions is run by Krzysztof (Kris) Kowalski, a sole trader providing mobile caravan and motorhome servicing across Aberdeen & Aberdeenshire. Kris is the "data controller", which means he's personally responsible for looking after your information. If you've got a question about your data, contact:
Email: kris@grampiancaravans.co.uk
Phone: 07908 400425
What gets collected
There's no online booking form on this site. Enquiries come in by phone, text or email, so what's collected is whatever you choose to share, plus what's needed to do the job and invoice it. Typically that's:
- Your name and contact details
- Your address, or where the job needs doing
- What you drive or tow, and what's wrong with it (including any photos you send)
- Details of the work carried out, the invoice and how it was paid
- Anything else you mention that's relevant to the job
Your information comes directly from you. Nothing is gathered about you from anywhere else.
What it's used for
To work out what's needed, arrange a time, carry out the job, invoice you and take payment, deal with any warranty or complaint, and keep the business records the law requires. It isn't added to a mailing list or used for marketing unless you specifically ask to hear about future offers, and you can change your mind at any time.
The legal basis for this
Under UK data protection law there has to be a lawful reason for using your information. Here, those reasons are:
- Contract: responding to your enquiry and carrying out the work you've asked for.
- Legal obligation: keeping invoices and payment records for tax and accounting purposes.
- Legitimate interests: keeping job notes in case of a warranty claim or complaint, and dealing with those properly.
Where it's kept and for how long
Messages, call notes, job records and invoices are kept as ordinary emails, texts and files. There's no separate customer database.
- Invoices and payment records are kept for at least 6 years, because tax and accounting rules require it.
- Job notes and messages are kept for as long as is needed to complete the job and cover any warranty period or complaint, and then deleted or anonymised.
- Complaint records are kept for as long as needed to resolve the complaint and show how it was handled.
Who else sees it
Your details aren't sold or traded, and Kris is the only person who uses them day to day. A few other organisations may handle your information only because they provide a service that the business needs:
- Email, phone and messaging providers, which carry the messages you send and receive.
- Banks and payment services, when you pay by bank transfer.
- An accountant or bookkeeper, if one is used for the business accounts.
- HMRC or other authorities, if the law requires it.
- The Approved Workshop Scheme and its independent dispute resolution service, but only if a complaint is taken to them.
Some of these providers may store information outside the UK. Where that happens, they must protect it to UK standards.
This website
This site doesn't use cookies, analytics or tracking scripts, and it has no contact form. It does load its fonts from Google Fonts, which means your IP address is sent to Google when a page loads. The website host will also see basic technical information such as your IP address in its normal server logs. Their own privacy policies apply to that.
Your rights
Under UK GDPR you have the right to:
- Be told what information is held about you, and ask for a copy
- Have anything inaccurate corrected
- Ask for your information to be deleted, although some records have to be kept by law
- Ask for the way it's used to be restricted
- Object to it being used, where it's used for legitimate interests or marketing
- Ask for the information you gave us in a portable format, where it's used under a contract
- Withdraw your consent at any time, if you've agreed to hear about offers
Just email kris@grampiancaravans.co.uk and you'll get a response within one month. There's no charge for this.
Not happy with how it's been handled?
You're welcome to raise it directly first, but you also have the right to complain to the UK's data protection regulator:
